JA & EC (We) are committed to protecting your privacy. We comply with the principles of the Data Protection Acts 1988 and 2003 & the EU GDPR legislation and aim to maintain consistently high levels of best practice in our processing of personal and/or sensitive personal data.
 

How we use information you provide us

We use the information we receive from you or which we obtain from our dealings with you as a CFM Agency user to allow potential employers and/or services that you request, to communicate with you, and to personalise information provided to you. Examples of how we may personalise information include using your information to generate an email alert, notifying you when an appropriate job vacancy may arise.

We store all the information you provide us, including information provided via forms you complete on our website and information which we may collect from your browsing. Our server, in common with nearly all web servers, logs each page that is downloaded from the site.

Any new information you provide us may be used to update an existing record we hold for you. If you provide a work email address we will not be responsible for third parties having access to any communications we send.

Examples of how we may personalise information might include preparing an email alert for you, or notifying you when we will be delivering new products that may be of interest to you. We may, on rare occasions, make outbound phone calls for a number of reasons relating to our services. We are fully committed to the regulations set out by all relevant legislation and follow strict processes to ensure we comply with them.

Third parties may deliver some of our products to you or provide all or part of the service requested by you. In these instances, whilst the information you provide will be disclosed to them, it will only be used for the administration of the service provided.

If you enter a contest or other promotional feature that we may run, we may ask for your name, address, phone numbers and email address so we can administer the contest and notify winners. Occasionally, we may also use the information we collect to notify you by post, phone, mobile phone, email and SMS about new or existing JA & EC Group services, products and special offers we think you'll find valuable.

We ask for your email address to enable us to contact you in relation to your account with us, to contact you about relevant products or services which we offer, to contact you if there is a problem or there is another genuine reason for doing so.

Generally by providing the requested data you consent to CFM Agency using that data for administrative purposes and for informing you of other products and services by email. We may also use the information we collect to occasionally notify you about important functionality changes to the website.

Based on the information you share with us, individualised offers may be shown to you on careersformums.ie website, in mobile apps or on third-party websites, including social media channels. To target our marketing activities, we may share limited information, (for example email address with third parties (including social media channels), so that they can provide us with an anonymous demographic profile of users on their platform. CFM Agency does not sell, trade or rent your information, and only aggregated, anonymised data is periodically transmitted to external services to help us improve your experience with us.

Access to your CFM Agency account

Access to your account is based on the understanding that this service is provided to allow you to store CVs, Covering Letters and apply for jobs through the CFM Agency website. Users must agree to the Terms and Conditions of use prior to registering with CFM Agency. CFM Agency may terminate access to your account at its own discretion. Inappropriate use of your account will result in access to your account being revoked.


The CFM Agency App

This privacy policy governs your use of software applications, such as the CFM Agency App for mobile devices, which is created by CFM Agency or its technology partners.

By downloading the CFM Agency App you agree, and provide your consent, to the use of your data as set out below (subject to the preferences you indicated when registering for the CFM Agency App).

We will respect your right to privacy and treat all of the personal information you give to us as confidential when you register to download the CFM Agency App. This includes your name,  email address and any other information you provide us through your account, when you contact us for help.

We may collect technical information in relation to your usage. This may include type of mobile device and operating system you use, a device identifier, IP address, IDFA, identity of your network operator, current location data (if you have enabled this for the CFM Agency App) and sessions (when you have the CFM Agency App open in either the foreground or background) which we may use to generate statistical usage data relating to the CFM Agency App.

We may use your information to:

·         Inform you of new products, offers or services

·         Understand  your interests based on in-app behaviours to improve our products and services

 

CFM Agency does not sell, trade or rent your information. We will only share your information with third parties if we have your consent to do so or when they are providing a service for us. For example, a third party developer or an analytics company. Such third parties will only use that information in accordance with our instructions and not for their own purposes. Only aggregated, anonymised data is periodically transmitted to external services to help us improve the CFM Agency App and our service.

When you use the CFM Agency App we may invite you to share content via email or via a social network. If you choose to share content then please be aware that the privacy and cookies policies of such third party sites govern the information you submit to them and we encourage you to read them.


Opt Out

Each time you receive marketing information or a message, you have the option to decline to receive further marketing information from us. This is known as an "opt-out". Data Protection

As required by the Data Protection Acts 1988 and 2003, we follow strict security procedures in the storage and disclosure of information you have given to us.

If we provide information to a third party, we will exercise the strictest control over the third party contractually, requiring it and any of its agents and/or suppliers to:

·         maintain the security and confidentiality of the information and restrict access to those of its own employees

·         use the data for the agreed purpose only and prevent it being used for any other purpose by any other party

·         refrain from communicating with you other than concerning the product in question

·         return the data to us at the conclusion of usage and destroy or delete any copies made of all or any part of the information unless copies are needed to be kept to comply with regulations.

In addition, we will restrict the information disclosed to the absolute minimum necessary, for example, to provide a product or service.

Our own security procedures mean that we may occasionally have to request proof of Identity.

If you contact us electronically we may collect your electronic identifier, e.g. Internet protocol (IP) address supplied by your service provider. This is to identify any repeat website visits, fraudulent behaviour or mystery shoppers using our websites.

Before you provide any data to us we will endeavour to make it clear, for example in our Data Protection and Privacy Policy, in the relevant application process and/or in the terms and conditions of the product or service concerned, why we need this data and how we will use it. By using our website, you consent to our collection, use and processing of the information we obtain from or about you as a result of our dealings with you as a CFM Agency user (including any data we obtain from third parties) for the purposes of which we have advised you. The third party will only be a member of the JA & EC Ltd Group of companies or a service provider.

We will always use every reasonable effort to ensure sufficient protections are in place to safeguard your personal information.

Subsequent to usage of a service, we may enter into an arrangement for that service to be provided by a new third party. If this happens, the terms and conditions of your agreement with us will provide that you consent to the transfer and processing of personal and/or sensitive personal data to the new provider, subject to the requirement of the Data Protection Acts 1988 and 2003 and associated regulations.

If you are a CFM Agency user, you consent to CFM Agency keeping you up to date about any user benefits available from time to time under which we may negotiate from time to time on behalf of our users and / or partners.

Disclosure of information to third parties

As previously mentioned, CFM Agency does not sell, trade or rent your information, and will never disclose information about you to third parties, except to fulfil your specific requests to transmit your information in the event of you enquiring about a third party’s vacancy or in the event that third parties deliver a relevant service. If you take out an insurance policy provided by a third party, they will need your details in order to administer the policy and process any claims.

We may of course be obliged at law to pass on your information to the police or any other statutory authority.


Employees and employees' spouses or partners.

Personal and/or sensitive personal data of a CFM Agency employee and his or her spouse or partner who use a CFM Agency service may be shared to any of the JA & EC Ltd group of companies for the purpose of operation of the service or for administrative reasons. By accepting the service the employee and his or her spouse or partner provide the necessary consent for this transfer of data.


Amendment and retention of information

Please advise us in writing at the address/details provided above as to any changes in your circumstances. Obviously it is preferable for us to retain up to date information. We will amend details as required. We are however obliged and permitted by law and regulation to retain certain types of data for a minimum period of time. The minimum period of time tends to be for six years but can be longer if the statute or regulation requires.


Subject access requests

You have a statutory right of access to accessible personal data that we hold about you. In order to exercise this right, your application must be in writing for security reasons. CFM Agency allows you to select which products you wish to receive information about, and to cancel any previous expressions of interest in particular areas.
